What you will do:

The Resource Advisor supports the activities of the Job Skills Employment Programs and Services activities by:

  • Obtaining, updating and assisting clients to access information and resource centre materials
  • Providing overview of program services and processes to clients and when necessary assists clients with application process and completion of Self-Directed Needs Assessment
  • Reviewing client completed Needs Assessments and making determination to refer for Assisted Services Assessment
  • Assisting clients with the development, review and submission of Better Jobs Ontario Applications, through workshops and one-on-one assistance
  • Providing information to employers who are unfamiliar with our services (either by phone or in person) and accepting job postings
  • Providing orientation/information to clients regarding job search tools and strategies, apprenticeship training, workplace safety and the Canadian workplace
  • Monitoring resource area activity: Assisting clients in accessing e-mail, computers, internet, fax and photocopy equipment to support their job search
  • Providing guidance for clients to develop a job search strategy, identifying and matching career interests, skills and aptitudes, and preparing a resume and cover letter
  • Assisting clients in the completion of paperwork
  • Following standard procedures for receiving and directing calls and handling walk-in clients
  • Providing general program information to clients and refers appropriately
  • Working cooperatively with other staff to ensure consistent and efficient reception coverage while providing excellent customer service
  • Ensuring client data is input accurately into both the RI and EOIS databases and runs reports
  • Maintaining file notes and appropriate documentation about clients’ progress as required
  • Developing monthly summary reports and completes other administrative duties as necessary
  • Conducting, summarizing and reporting customer satisfaction surveys for RA clients
  • Researching and analyzing current and future job market trends that are relevant to the client base
  • Preparing files and maintaining filing system as required
  • Typing correspondence, sending faxes and distributing mail
  • Supporting Facilitation Team through “on call” delivery of seminars and workshops to clients, both in-house and as part of outreach strategies on an as-needed fill-in basis
  • Participating in community activities and job fairs
  • Networking with community and employment agencies as required
  • Conducting outreach to clients and employers as necessary
QUALIFICATIONS:
  • Minimum education requirement is a Post-secondary education, preferably in Career Development or Social Service and/or related experience
  • 2-4 years’ experience in the Social Service sector

Support Job Skills’ by:

 

Funding and Proposal Development Research

  • Assisting in the research process related to potential funding sources (including all levels of government, charities and foundations) and, in collaboration with the Funding and Operations Associate leading, developing an ongoing database of potential opportunities
  • Researching, evaluating and collating regional statistical information to understand the demographics of each area served by Job Skills
  • Researching, evaluating and collating the current demographics of the clients Job Skills serves by reviewing the criteria for current client recruitment by location and program
  • Creating an online file for each region and develop a list of common statistical information in collaboration with the Funding and Operations Associate
  • Becoming familiar with the eligibility criteria for clients of Job Skills’ menu of programs and services by collaborating with Managers of each division

 

Database and File Maintenance

  • Becoming familiar with the Job Skills’ SMART database and assist in potential development of a database for prospective funding opportunities

 

Reporting and Documentation

  • In collaboration with IT, obtain reporting tools that will identify potential areas for funding opportunities and can create monthly reports, collaborating with management team relating to proposal development.

 

Special Projects – Proposal Development

  • Reviewing current and historical proposals developed and submitted by Job Skills
  • In collaboration with the Funding and Operations Associate, reviewing potential proposal components to develop as multi-use templates for future submissions
  • Participating in committee work, both with the Fund and Proposal Committee and Client Recruitment Committee to understand current and future activities that may be assisted by focused research

 

General Office Duties

  • Becoming familiar with Job Skills’ mandate, objectives and programs, through the review of available literature, involvement in staff meetings and site-specific virtual visits.
  • Developing and maintain a working relationship with all Job Skills’ departments, at all Job Skills’ offices.

What you will do:

The Outreach Assistant (Newcomer) supports the client recruitment activities of the Job Skills Employment Programs and Services activities by:

 

Outreach and Client Support

  • Participating in the development of a formal outreach program for JS programs, utilizing the JS internal database. This will include:
    • Creating an outreach schedule of events for a 12-month period to include face to face meetings at community partner team meetings, delivery of email and hard copy JS marketing information
    • Updating and expanding the JS existing stakeholders list of community partners
    • Creating a detailed list of all local community locations to target clients (i.e. shopping malls, shelters, community centres, food pantries, libraries)
    • Creating a schedule for digital notifications to be sent to all community partners on a monthly basis
    • Researching and creating a formal list of all local community FB links to include staff memberships
    • Researching and creating a 12-month list of community events within York Region and entering this in the JS internal database
  • Participating in the delivery of outreach activities both on-site and throughout the community (i.e. community partners, community centers, youth centers, shopping malls, job fairs and shelters)
  • Conducting planned outreach activities in York Region, in coordination with JS’ services and programs team
  • Using excellent customer service skills, both on the phone and in person, dealing tactfully and effectively with partners, organizations, government agencies and the general public
  • Participating in the planning, preparation and promotion of events
  • Attending and assisting with specific promotional activities or other activities, as required

 

Communication

  • Ensuring that the Centre Manager is kept aware of critical issues and weekly activities
  • Making recommendations to the Centre Manager, regarding the delivery of an outreach strategy

 

Special Projects

  • Working with the Marketing Department to support the development and creation of outreach-oriented marketing and information tools
  • Assisting in the identification of trends affecting employment through formal research and observation
  • Providing support to local community initiatives focused on addressing the needs of job seekers

 What you will do:

Support Job Skills’ Marketing department by:

 

Marketing/Communications

  • Becoming familiar with the organization’s overall marketing strategy, as well as the strategies for individual programs/services.
  • Assisting with the creation/revision of specific marketing materials (both print and electronic) to support the promotion of Job Skills’ services and programs for unemployed individuals.
  • Ordering printed and promotional material.

  • Studying and becoming familiar with the organization’s personnel and social media policies, the marketing procedural manual, Job Skills’ website procedures, and guidelines for Accessibility of Ontarians with Disabilities Act (AODA), as it relates to websites.
  • Increasing the organization’s social media activity level in the following platforms, i.e. Facebook, Twitter, LinkedIn, Google+, YouTube, etc. by posting approved content on the appropriate social media venue, on a pre-determined schedule.
  • Researching/writing posts based on the social media calendar/roadmap.
  • Assisting with creating/curating a variety of content for the organization’s various social media platforms, i.e. articles, YouTube videos, online ads, etc.
  • Supporting the online presence (website/Facebook page) of Welcome Centre Immigrant Services, including creating/curating appropriate content.
  • Assisting in writing content for Job Skills’ website to promote interest in the organization’s services and programs, i.e. testimonials, program overviews, client resources, etc.
  • Working with the Senior Manager, Brand Marketing and marketing staff to ensure that website and social media accounts are free of errors, broken links and meet AODA standards of accessibility
  • Updating website content as directed, including posting of flyers, calendars, event messaging, etc.

 

Special Projects

  • Assisting with the implementation of various components of Job Skills’ brand enhancement strategy (including participating in strategy meetings, contributing ideas/suggestions, assisting with revising existing marketing collateral to meet with new brand guidelines etc.).
  • Assisting with the development of the Job Skills’ style guide.
  • Researching/writing/creating client success stories/testimonials for promotion use in both digital and print.
  • Working with the marketing team on the re-design of Job Skills’ website on the new platform to meet with the new brand guidelines.
